Privacy and data use

Operations OS Private is operated by Motion Analytics Ltd (MotionAnalytics) for authorized company operations.

Information accessed

Connected Google accounts provide the identity information and permissions shown during consent. The personal-mail integration requests email identity and read-only Gmail access. Expense workflows can read message headers, message bodies, attachments, and mailbox labels to locate authorized financial documents. Personal and company connections are kept separate.

Separately authorized company workflows may access company Gmail, Drive files, and spreadsheets. Uploaded or selected local files can also be processed. OAuth credentials are retained in private server storage to support authorized access without requesting a password for each run.

How information is used

Information is used to identify financial documents, extract invoice details, detect duplicates, categorize expenses, reconcile records, and retain source evidence. Authorized workflows can upload financial documents to SUMIT, archive them in company Drive folders, and update company financial records. Company email filing and other task actions require the corresponding authorization. The personal-mail connection does not send, modify, or delete Gmail messages.

Processing and access

Operations OS uses Google Cloud for its private runtime and storage. Authorized tasks may use OpenAI services to interpret documents or perform requested work. Relevant source content and extracted information may be included in that processing. Google Workspace and SUMIT receive the records required for the authorized filing and accounting workflows. Authorized company users and administrators can review retained evidence and operational results.

This public information site is hosted by Cloudflare. It does not receive mailbox content or OAuth credentials from the private application. Cloudflare processes ordinary web requests to deliver and protect these pages.

Retention and your choices

Source documents, extracted financial records, review decisions, task checkpoints, and audit evidence may be retained in the company's operational systems and backups. Retention depends on the record and the company's accounting and operational requirements; there is no automatic deletion period stated here.

You can revoke the application's Google access through Google Account connections. Revocation prevents subsequent access under that grant; it does not automatically delete previously archived documents, financial records, or backups. Contact the administrator to request review, correction, or deletion of retained data.

Google user data

Google data is used for the authorized, user-facing workflows described above. It is not sold or used for advertising. Operations OS Private's use and transfer of information received from Google APIs must comply with the Google API Services User Data Policy, including its Limited Use requirements.
